Signup, confirmation and first access

Who should use the Signup page?

Signup is for creating a new Center organization or a new Partner account.

Parents and Staff normally should not create a standalone account through Signup. Their access begins with an invitation sent by their childcare Center.

How do I create a new Center account?
  1. Open WizHippo Signup.
  2. Choose the Center signup path.
  3. Enter the Center and administrator information.
  4. Use an email address you can access.
  5. Complete the email confirmation/activation step.
  6. After activation, use the normal WizHippo Sign In page.
How do I create a Partner account?

Start from the WizHippo Partners page, then continue to Signup and choose the Partner path. Complete the requested Partner information, confirm your account by email, and then use the normal WizHippo Sign In page.

I completed signup. What happens next?

Complete the confirmation or activation step sent to the email address used during signup. Once the account is active, sign in with that same email and your password.

I did not receive my confirmation email.
  • Check Spam/Junk.
  • Verify the email address entered during signup.
  • Wait a few minutes and check again.
  • If the message still does not arrive, contact WizHippo Support.
My confirmation link does not work.

The link may already have been used, may no longer be valid, or the account may already be activated. Try Sign In first. If necessary, use Forgot Password or contact Support.

I already have a Center account. Should I sign up again?

No. Use your existing Center account and the regular Sign In page. Avoid creating duplicate Center accounts.

Can a Parent or Staff member use Signup?

Normally, no. Parent and Staff access should be created through the invitation sent by the Center so the user is connected to the correct Center and records.

What email should I use during signup?

Use an email address you control and check regularly. WizHippo uses email as your account identity and for important account and security messages.

Where do I sign in?

Centers, Staff, Parents and Partners all use the same WizHippo Sign In page.

Which email should I use?

Use the email associated with your WizHippo account. For invited Parents or Staff, this is normally the email address used by the Center when sending your invitation.

I cannot sign in after activating my account.
  • Confirm you are using the same email used for signup or invitation.
  • Check your password carefully; passwords are case-sensitive.
  • Use Forgot Password if needed.
  • Parents and Staff can also ask the Center to confirm the account is still active.
I forgot my password.

Use the Forgot Password link on the Sign In page. Enter the email tied to your account and follow the password-reset instructions sent to that email.

I requested a password reset but received no email.
  • Check Spam/Junk.
  • Confirm you entered the correct email.
  • If you are Parent or Staff, confirm the email with your Center.
  • If your account was never activated, complete the invitation/activation process first.
What does Remember Me do?

Remember Me helps keep your session available on a trusted device.

Security: Do not use Remember Me on a shared, public or unattended computer.
How do I change the language?

Use the language selector on the Sign In screen when available. This changes the interface language for your session and does not alter your email, password or permissions.

What does Install App mean?

On supported browsers and devices, WizHippo can be installed as a web app for quicker access. You continue using the same WizHippo account and permissions.

Can I use WizHippo on my phone?

Yes. WizHippo is web-based and can be accessed from a supported mobile browser. If the Install App option is available, you can add it to your device for quicker access.

How do I change my password?

After signing in, open the User Menu and select Change Password. Follow the password requirements shown by WizHippo.

How do I sign out safely?

Use the Logoff option in the User Menu, especially when using a shared device.

Why can I sign in but not see a menu or feature?

WizHippo uses role-based permissions. Your Center or Partner context determines which modules and actions are available. Contact your Center administrator if you believe access should be changed.

Invitations & Access

Parent and Staff invitations

Why did I receive a WizHippo invitation?

You may receive an invitation because a Center is creating access for you as a Parent/Guardian or Staff member, or because a Partner has referred a Center to WizHippo.

How does a Parent get access?

The Center first creates or maintains the Parent/Guardian record and email address, then sends a WizHippo invitation. The Parent activates the account from that invitation and later uses the regular Sign In page.

How does a Staff member get access?

The Center controls Staff access. A Center administrator creates or associates the Staff user and sends the invitation/activation email. After activation, Staff uses the regular Sign In page.

I did not receive my invitation.
  • Check Spam/Junk.
  • Confirm the Center has your correct email.
  • Ask whether the invitation was sent.
  • If needed, ask the Center to resend it.
My invitation link expired or does not work.

Contact the Center that invited you and ask them to review your user record and resend the invitation if needed. If you already activated the account, try Sign In instead.

The Center invited the wrong email address.

Ask the Center to correct the email before resending the invitation. Do not create a separate unrelated account unless the Center specifically instructs you to do so.

I accepted my invitation. How do I sign in afterward?

Once activation is complete, use the standard WizHippo Sign In page with the email and password associated with your account.

Can I create an account without an invitation?

Parents and Staff normally should not. Their access should be created by the Center. Centers and Partners may use Signup to create their own account.

Why can I sign in but not see certain information?

Your access depends on your role and permissions. Parents see information associated with their family/student context. Staff see only the modules permitted by their security group.

Can the Center deactivate my access?

Yes. A Center can activate, deactivate or restrict access to its users when appropriate.

Can the same email be used for multiple roles?

WizHippo uses email as the user identity. If you may have more than one relationship or role, contact Support before creating duplicate accounts.

Parents & Billing

Invoices, payments and billing emails

I received a New Invoice email. What does it mean?

The Center created an invoice associated with the student named in the email. Sign in with your Parent account to review the invoice and available payment options.

What does Payment Due Today mean?

The invoice has reached its scheduled due date today. Sign in to review the invoice status and payment options.

Why did I receive a Past Due notice?

A Past Due or Overdue notice means the invoice remains outstanding after its scheduled due date.

Where can I see my invoices?

Sign in to WizHippo with your Parent account. Billing information available to your account appears in the Parent-facing areas enabled by your Center.

How do I make a payment?

Sign in and open the invoice. The payment options shown depend on your Center's billing setup and your account.

How do I add or change a payment method?

Use the billing/payment area available to your Parent account. If you do not see a payment-method option, contact your Center.

What is AutoPay?

AutoPay allows eligible payments to be charged automatically when the Center and Parent account are configured for automatic payment.

Why is my invoice amount incorrect?

The Center creates and manages tuition, fees, credits, discounts and invoice amounts.

Contact your Center for questions about the amount or billing policy.
Who sets tuition and fees?

Your childcare Center does. WizHippo provides the billing platform; the Center determines charges and billing policies.

Who should I contact about a refund or credit?

Contact your childcare Center directly. Refunds, credits, adjustments and billing policies are managed by the Center.

I paid but the invoice still appears unpaid.

Refresh the page and review the invoice again. If the status still appears wrong, contact your Center and provide the payment date and any available confirmation details.

Why am I receiving billing emails?

Your Center may send billing notifications through WizHippo, including new invoice, due-date and overdue messages.

Does unsubscribing from an email cancel my invoice?

No. Email preferences do not cancel an invoice, remove your account or change the Center's billing records.

I cannot open the invoice from the email.

Open the standard WizHippo Sign In page directly, sign in with your Parent account and review your available billing information there.

I have a question about a specific charge.

Contact your childcare Center. The Center can explain the charge, amount, due date and any adjustment.

Partner signup, referrals and Center access

What is a WizHippo Partner?

A WizHippo Partner is a consultant or agency that supports childcare providers with compliance and inspection readiness. Partners use a central Partner workspace and may access Centers that authorize the relationship.

How do I become a Partner?

Start on the WizHippo Partners page, continue to Partner signup, complete the requested information and confirm your account. After activation, use the standard Sign In page.

How do I sign in to the Partner Portal?

Partners use the same standard WizHippo Sign In page as other account types. WizHippo opens the correct Partner context after authentication.

How do I refer a Center?

Inside the Partner Portal, use the referral workflow to enter Center/contact information and send the personalized invitation.

What happens after I send a referral?

WizHippo records the referral and sends the invitation to the Center contact. The referral can then move through statuses such as Invitation Sent, Signup Started, Trial or Converted.

The Center already uses WizHippo. What happens?

The Center should use its existing account instead of creating a duplicate Center. The Partner relationship can still be reviewed and authorized through the existing Center account.

Does referring a Center give me access?

No. Referral and authorization are separate.

Referral is not access. The Center must separately approve the Partner relationship.
How does a Center authorize a Partner?

The Center reviews the Partner relationship and accepts authorization inside WizHippo. Both the central relationship and the Center's local authorization must remain valid.

Why can’t I open one of my Centers?

Access may fail if the Center authorization is inactive, expired, revoked or not yet valid, or if the required Partner permissions are unavailable.

Why do different Centers give me different access?

Each Center controls its own Partner permissions. Access can differ from one Center to another.

How do I return to the Partner Portal?

Use Back to Partner Portal after working inside a Center.

Can a Center revoke my access?

Yes. A Center can suspend, revoke, schedule or allow Partner access to expire without changing your central Partner account.

What do the referral statuses mean?
  • Draft: saved, not sent.
  • Invitation Sent: invitation sent.
  • Signup Started: recipient began signup/sign-in.
  • Trial: Center entered a trial stage when applicable.
  • Converted: successful connected Center.
  • Declined: referral declined.
  • Invalid: referral no longer valid.
  • Duplicate: relationship/email already tracked.
Where can I see my referrals?

Use the Referrals area in the Partner Portal to review invited Centers and their current status.

How do I update my Partner Profile?

Use Partner Profile for supported business and contact information. Login credentials, password, authentication and Partner status are managed separately.

Why does the tutorial change when I enter a Center?

When a Partner opens a Center, WizHippo switches into the Center workspace and shows Center/Staff learning content. Returning to the Partner Portal restores the Partner tutorial.

Compliance, permissions and inspections

What does inspection-ready mean in WizHippo?

Inspection readiness is the ongoing condition of your records, documents, certifications, requirements, alerts and follow-up items—not just a one-time pre-inspection checklist.

Why is a compliance item Missing?

A Missing status may indicate that a required record, document, certification or other evidence is not currently available or valid.

Why does an item show Pending Review?

Pending Review can mean information exists but still requires manual verification, review or another workflow step before the requirement can be considered complete.

How do documents affect compliance status?

Documents can be linked to requirements, Staff, students or facility records. When properly categorized and current, they can support checklist status and expiration monitoring.

What should I do with an expired document?

Upload the renewed/current document and make sure the document type, issue date and expiration date are correct.

Does finalizing an inspection automatically resolve findings?

No. Inspection visits and findings have separate lifecycles. A visit can be finalized while findings remain Open or Pending Verification.

Does submitting correction evidence automatically resolve a finding?

No. Correction evidence can be submitted for review, but the finding remains tied to the original inspection until it is verified and resolved.

Can a follow-up inspection resolve a previous finding?

Yes. A follow-up visit can verify a correction while preserving the original inspection history.

Why can’t a user see a menu or action?

WizHippo uses role-based permissions. The user's security group determines which applications and actions are available.

What can Staff access?

Staff access depends on the security group assigned by the Center. Access may be full, limited or view-only depending on responsibilities.

What can a Partner access inside a Center?

Partner access is controlled by the Center's PARTNER security group and authorization. Available areas may include compliance dashboards, requirements, documents, inspections, findings, actions and reports when permitted.

Where can I get help inside WizHippo?

Use the Help menu for available tutorials, changelog information and support options.

What should I send Support when something is not working?
  • Your role: Center, Staff, Parent or Partner.
  • The page or feature you were using.
  • What you were trying to do.
  • The exact error message, if any.
  • A screenshot when appropriate and safe to share.
Does WizHippo replace licensing or legal guidance?

No. Licensing requirements vary by state, agency, program type, accreditation and local requirements. WizHippo helps organize and monitor information but does not replace official licensing authorities or legal guidance.
